Privacy Policy

PCN Computer Services ("PCN", "we", "us") operates the PCN Job Register as a private internal business application. This policy explains how information is handled when authorised PCN personnel use the application.

Information we process

  • Microsoft 365 identity information used to sign in, such as name, work email address and account identifier.
  • Customer and transaction information obtained from PCN's QuickBooks Online account, including customer names and contact details where present, estimate and invoice references, dates, descriptions, notes, status and financial values.
  • Operational information entered by authorised users, including work dates, completion status and invoice status.
  • Security and audit information, including sign-in and record-change history.

How and why we use information

We use this information to manage PCN's estimate-to-invoice workflow, schedule and record work, ensure completed work is invoiced, control access to financial information, maintain accurate business records, support users and protect the application. We do not use information from the app for advertising or sell it.

Lawful basis

Where UK data protection law applies, processing is carried out because it is necessary for PCN's legitimate interests in operating and securing its business, managing customer work and maintaining accurate records. Information may also be processed where necessary to perform a contract or comply with legal obligations, including accounting and tax requirements.

Sources and service providers

Information is obtained from authorised PCN users, Microsoft 365 and PCN's QuickBooks Online account. The application uses Microsoft for identity services, Intuit for QuickBooks Online connectivity, Supabase for database and authentication services, and Vercel for application hosting. These providers process information on our behalf or under their own applicable terms and may process data internationally using their contractual data-protection safeguards.

Access and security

Access is limited to authorised PCN personnel using their Microsoft 365 accounts. Role-based permissions restrict who can see financial values. Connections use encryption in transit, and QuickBooks access credentials are encrypted before storage. Users must not share accounts or disclose information to unauthorised people.

Retention

Business and transaction records are retained in line with PCN's operational, contractual, accounting and legal retention requirements. Account and audit information is retained for as long as reasonably required for security and accountability. Information is deleted or anonymised when it is no longer required, subject to any legal obligation to retain it.

Cookies

The application uses only essential session and security cookies needed for sign-in and operation. It does not currently use advertising cookies.

Your rights

Depending on the circumstances, individuals may have rights to request access to, correction or deletion of their personal information, to restrict or object to processing, and to data portability. Some rights may be limited where PCN must retain business or accounting records. The application does not make solely automated decisions that produce legal or similarly significant effects.

Changes to this policy

We may update this policy when the application or our legal obligations change. The effective date above will be updated when material changes are made.
